design assistant
Oakland, CA Contract Role. 10-15 hours per week.
We are a boutique interior design studio seeking a hands-on, highly organized design assistant who is just as comfortable running project timelines as they are jumping in to support wherever needed. You’ll be responsible for managing schedules, coordinating vendors and trades, and maintaining clear, professional communication with clients. This is a cross-functional role focused on keeping projects moving smoothly through all phases of the design process—from planning and design to procurement and installation.
some days may be long while others are short, and weekly hours will vary significantly depending on the project phase.
Responsibilities:
Project Scheduling & Coordination: Manage project calendars, site visits, walkthroughs, and installations; identify and flag delays early.
Client & Team Communication: Provide weekly client updates; summarize meetings for the team; ensure all stakeholders are aligned.
Trade & Vendor Management: Coordinate trades and vendors; distribute drawings and specifications; act as on-site contact during execution.
Procurement & Install Logistics: collaborate with Procurement Manager and Designer to Align on product deliveries and styling items with install schedules
Construction Oversight: Serve as on-site lead when no general contractor is present; ensure scope and design intent are executed correctly.
Installation Management: Create and manage install timelines; ensure all materials and tools are prepared; troubleshoot issues on-site.
Post-Project Wrap-Up: Oversee punch list completion, archive project documentation, and manage final invoicing.
Site & Sample Support: Pick up/return items and samples; assist with site measurements, taking meeting notes, and before photos.
Qualifications:
1+ years of experience in project management (ideally in interior design, architecture, or residential construction)
proficient in google suite and canva
Excellent communication, organizational, and time management skills
an understanding of construction processes, timelines, and coordination
Comfortable working with clients, trades, and design teams
Proactive, detail-oriented, and confident working independently on-site
local to the Bay Area
Projects are located throughout the Bay Area, and driving up to an hour or more to job sites may be required. A reliable vehicle and valid driver’s license are required.
